Building a Maintenance Calendar Synced With ERP

Preventive maintenance is often lost in a sea of sticky notes, spreadsheets, and post-it calendars. But with ERP integration, your maintenance calendar can become a living, data-driven tool that helps reduce downtime, control parts inventory, and align labor.

Start With Asset Hierarchy

Begin by organizing all plant assets into a hierarchy:

Tier 1: Primary assets (kilns, furnaces, laminators)

Tier 2: Supporting systems (compressors, chillers)

Tier 3: Utilities and environmental controls

Log this structure in both your CMMS and ERP to allow shared visibility.

Define the Maintenance Cadence

ERP systems like SAP, Oracle, and Microsoft Dynamics allow for such integrations via APIs or custom connectors.

Assign Resources and Alerts

Link each calendar entry with:

Assigned technicians

Estimated task duration

Required spare parts or tools

Set automated alerts 48 hours before each task to allow prep.

Audit and Adjust

Use KPIs like “PMs completed on time” or “mean time between failures” to refine your calendar. If reactive maintenance still dominates, shorten your cycles or revise task scope.
