Designing CX SOPs for Partial Shipments

When you can’t deliver everything, make sure the experience doesn’t feel like a drop-off.

In glass distribution, partial shipments are sometimes unavoidable. Maybe a batch is waiting on lamination. Maybe rack space is constrained. Maybe production ran short on coated stock. Whatever the reason, the glass doesn’t all arrive—and now the buyer is left adjusting install timelines or site staging.

Handled well, a partial shipment can still be a trust-building moment. Handled poorly, it turns into friction and frustration that can derail a multi-phase relationship.

Building SOPs That Reduce Partial Shipment Anxiety

1. Flag Partial Shipments at Order Entry

Include a field in your ERP or order system:

“Will ship in multiple deliveries”

“Second batch due by X date”

“Staging required across 2 racks”

This ensures everyone—sales, ops, CSRs—knows what to expect from day one.

2. Create Pre-Ship Buyer Notifications

“Your order for the Columbia Civic Center will ship in two phases. Rack #1 is arriving Thursday with 60% of lites staged for levels 1–3. Rack #2 will follow Monday with upper-level units.”

This email should include:

Rack IDs

% of job complete

Next ETA

It saves your buyer from scrambling—and makes you look buttoned-up.

3. Label Shipments Clearly

Use:

Rack tags with “Partial 1 of 2” labels

Packing slips that show both shipped and pending items

Staging summaries that match jobsite floor plans

This helps field crews unload and plan without endless phone calls.

4. Set Internal Triggers for Follow-Up

Have CSRs or inside sales:

Confirm successful receipt of Part 1

Re-confirm timing for Part 2 the day before delivery

Document all touchpoints in CRM or order logs

When the second shipment hits, it shouldn’t feel like a restart—it should feel like a continuation.
