Most kickoff meetings are full of checklists: submittals, RFIs, milestone dates, lead times. But one thing that rarely makes the agenda — and often becomes the biggest headache — is site coordination.
For glass distributors supporting complex projects, site coordination isn’t just an install problem. It’s a material delivery risk, a staging nightmare, and a communication gap that can snowball into lost time and lost margin.
Here’s the truth: the drawings might be final, the shop drawings might be approved, but if your delivery arrives before the curtainwall brackets are installed or before crane access is cleared, you’ve just turned efficiency into friction.
Site coordination issues often stem from three blind spots:
Assumed install readiness. Distributors frequently deliver based on lead time estimates, not on real-time site conditions. Just because you can deliver your IGUs doesn’t mean the site is ready to receive them.
Misaligned communication chains. The PM approves the delivery date, but the site super isn’t informed. Or worse, the site access point has changed due to concrete pours or elevator shaft delays.
Lack of last-mile planning. Distributors focus on getting glass to the jobsite — but not into place. If install crews don’t have the right hoists, staging zones, or manpower prepped, your glass sits, gets damaged, or causes congestion.
For procurement and GC buyers, what matters most is predictability. A glass distributor who actively engages in site-readiness checks before dispatch — even just a call or a photo confirmation from the field — is worth more than a supplier who ships “on time” but causes disruption.
You won’t always hear site coordination discussed in kickoff meetings — but that’s exactly why you should bring it up. Ask who owns install sequencing. Ask when staging zones go live. Ask how delivery will be received, not just where.
Because when you take ownership of site coordination risks, you’re not just supplying glass — you’re managing execution. And that’s a language project teams respect.
