In capital projects, changing specs midstream is the most expensive decision you can make.

Ask any project manager overseeing a build that includes high-performance glass, precast panels, or industrial-grade coatings, and they’ll tell you: specification drift is a silent killer. For distributors, spec lock-in isn’t just a line on a quote—it’s the difference between seamless fulfillment and six-figure overruns. And yet, too often, material specs are treated as flexible until late in the project cycle, triggering last-minute substitutions, reapprovals, and costly delivery delays.

Locking the Spec: Tactics That Work

Early-stage collaboration with project engineers and consultants. If you’re supplying performance glazing for healthcare or education projects, get your submittal packages and thermal calculations into the design phase—not the RFQ stage.

Spec confirmation agreements. Distributors in Canada are increasingly including spec confirmation clauses with developers and GCs, requiring formal written acknowledgment of product approval before fabrication begins. This protects all parties.

Digital transparency. Use BIM integration or cloud-based spec tracking tools (like Procore or PlanGrid) to track material callouts across drawings, submittals, and revisions. If a change occurs, you’ll know—and can push back before it’s too late.

Spec lock-in gives you stable demand forecasting, better freight coordination, and fewer rush orders from fabricators. It also enhances your credibility: you become a consultative partner, not just a vendor.
